Registration Card

The Registration Card is an editable, signed check-in record stored against the reservation — distinct from the printable Registration Form. Where the Registration Form is a document you print or email, the Registration Card is an on-screen form where staff can adjust the guest's details and capture the guest's (and an accompanying guest's) signature digitally before printing.

Access

From the reservation detail, click Registration Card. The editor opens pre-filled from the reservation and guest profile (arrival/departure dates, room, rate, guest name, contact details, nationality, etc.).

Editing and Capturing Signatures

  1. Open the reservation and click Registration Card.
  2. Review and correct the pre-filled fields if needed.
  3. Ask the guest to sign in the Guest Signature box using a mouse, stylus, or touchscreen. There is also an Accompanying Guest Signature box for a second signer if applicable.
  4. Optionally set the signing date for each signature.
  5. Click Save to store the card and signatures against the reservation.

The signature pad captures a hand-drawn signature directly on screen; use Clear/the delete action on the pad to redo a signature before saving.

Printing or Emailing

From the Registration Card editor you can:

  • Preview the card as a PDF before saving.
  • Print the card.
  • Email it to the guest — the recipient address is pre-filled from the guest profile email and can be edited before sending.

When to Use

  • At check-in, once the guest has reviewed their details, to capture a legally usable digital signature.
  • To keep a permanent, retrievable signed record for the reservation instead of (or alongside) a paper form.
