Housekeeping Room Plan
The Housekeeping Room Plan is a calendar-style grid showing room availability and occupancy over a date range. It is used to visualise which rooms are occupied, vacant, or blocked, and to create new reservations directly from the grid.
See Housekeeping Overview for common FAQs and troubleshooting.
Access
From the sidebar: Housekeeping → Room Plan.
There is also a Front Desk → Room Plan view — both show the same room plan grid. The housekeeping room plan is accessed from the housekeeping section of the sidebar.
Layout
The room plan is a grid where:
- Rows = individual rooms (grouped by room type or floor).
- Columns = dates across the selected date range.
- Cells = the status of that room on that date.
Cell Colours
| Colour | Meaning |
|---|---|
| Green / Occupied | Room has an in-house or confirmed reservation on that date. |
| Grey / Vacant | Room is vacant and available. |
| Red / Out of Order | Room is marked out of order for that date. |
| Yellow / Dirty | Room is vacant but not yet cleaned. |
Hover over a cell to see the reservation details (guest name, reservation number, arrival/departure).
Date Range
Use the Start Date and End Date controls to set the date range displayed. The grid scrolls horizontally across the selected range.
The default view typically shows 14–30 days from the current business date.
Creating a Reservation from the Room Plan
Click on a vacant cell for a room and date to start a new reservation:
- Click the vacant cell for the desired room and start date.
- The new reservation form opens pre-filled with that room and date.
- Complete the reservation form (guest, dates, rate, etc.).
- Save. The reservation appears on the grid.
This is the fastest way to create a walk-in or same-day reservation when you can see room availability at a glance.
Viewing a Reservation
Click on an occupied cell (a reservation bar) to open the reservation detail or a quick-view popup showing:
- Guest name
- Reservation number
- Arrival and departure dates
- Room type and room number
- Status
From the popup you can navigate to the full reservation detail.
Filters
| Filter | Description |
|---|---|
| Room Type | Filter the grid to show only rooms of a specific type. |
| Floor | Filter by floor number. |
| Status | Filter by room status (vacant, occupied, OOO, etc.). |
Use filters to focus on a specific section of the property.
Room Status Indicators
The room plan reflects the current housekeeping status of each room. Rooms that are Out of Order or Out of Service are shown differently from vacant rooms, so you can avoid assigning them.
For detailed room status management, use the Room Status tab in Housekeeping Management.
Common FAQs
What is the difference between Housekeeping Room Plan and Front Desk Room Plan? They show the same grid. The Front Desk Room Plan is accessed from the Front Desk section of the sidebar; the Housekeeping Room Plan is accessed from the Housekeeping section. Use whichever is more convenient for your workflow.
Why does a room show as occupied when the guest has checked out? The reservation may not have been checked out yet, or the room status has not been updated. Check the reservation status and update the room status in Housekeeping → Room Status.
I clicked a vacant cell but the reservation form did not open. You may not have permission to create reservations. Ask your administrator to grant reservation creation permission.
The room plan shows the wrong date range. Adjust the Start Date and End Date controls to the range you need.
