Notifications

The PMS shows notifications in the top bar via a bell icon. Use them to stay informed about housekeeping, reservations, and billing without leaving your current screen.

Where to Find Notifications

  • Look for the bell icon in the header or top bar (usually top-right).
  • A badge or number on the bell shows how many unread notifications you have.

What Notifications Show

Notifications can include:

  • Housekeeping — Lost & found, room status changes, maintenance, tasks, out-of-order
  • Reservations — New or updated reservations, or other reservation-related alerts
  • Billing — Payments, transactions, or billing alerts

The exact types depend on how your property has configured the system.

Using Notifications

  • Open the list — Click the bell to see recent notifications.
  • Read one — Click a notification. It is marked as read and you are taken to the relevant screen when the system can determine it (e.g. a specific housekeeping tab, reservations, or billing).
  • Unread count — The number on the bell updates as you read items. The list is refreshed automatically (about once a minute) so new notifications appear without reloading the page. It also refreshes when you switch back to the browser tab.

Where You Are Taken

When you click a notification, the app tries to open the most relevant screen:

If the notification is about…You are typically taken to…
Lost & foundHousekeeping → Lost & found tab
Room statusHousekeeping → Room status tab
MaintenanceHousekeeping → Maintenance tab
Housekeeping tasksHousekeeping → Tasks tab
Out of orderHousekeeping → Out of order tab
Housekeeping (general)Housekeeping management
ReservationsReservation list
Billing / payment / transactionBilling / Cashiering

If the message does not match any of these, the notification may only be marked as read and no navigation occurs.

Emailing Documents to Guests

Several screens (registration form, confirmation letter, guest message, deposit receipt, folio, cancellation letter) let staff email the document directly to the guest as a PDF attachment instead of only printing or downloading it:

  1. Open the document preview (e.g. registration form, confirmation letter, folio).
  2. Choose the email option on the preview.
  3. Enter (or confirm) the guest's recipient email address.
  4. Optionally edit the subject and message text.
  5. Send. The system renders the document to PDF and emails it as an attachment.

If the email cannot be sent (for example, mail server or network issues), the system shows an error message explaining the likely cause so you can retry or notify IT.

Notes and Limitations

  • The bell only shows unread notifications for you — there is currently no "view all / notification history" screen for notifications you've already read.
  • Lost & Found notifications are only shown to users who have the Lost & Found viewing permission (or are admins). Other users will not see these notifications in the bell, even if the underlying event occurred.
  • Transportation is not an active module in the current system — there is no transportation dashboard, trip log, or driver assignment screen, and no transportation-related notifications are generated. Any transportation-related mentions elsewhere in this manual refer to configuration-only lookup data, not a working operational feature.

Tips

  • Check the bell regularly so you don’t miss housekeeping or billing alerts.
  • Notifications are marked as read one at a time when you click them — there is no bulk "clear all" action. Marking a notification as read never deletes it; it simply removes it from your unread count.
